All Tenant Requests in One Place

Tenants report issues through SMS, WhatsApp, phone calls, and emails โ€” and thatโ€™s how things get missed. Delays lead to frustration, repeated messages, and disputes later. A simple rule fixes most of it. A single place for all tenant requests: Leasedeck.

Where tenant requests should go ๐Ÿ“

Keep it simple and consistent:

โœ… โ€œPlease submit your request through the Tenant Requests page in LeaseDeck.โ€
โœ… โ€œInclude photos and a short description.โ€
โœ… โ€œMark if itโ€™s urgent (leak, no heat, safety issue).โ€

If tenants text you anyway, reply:

Thanks โ€” please submit it through LeaseDeck Tenant Requests so it doesnโ€™t get lost. If you can, add a photo.

Triage requests (urgent vs routine) ๐Ÿšฆ

โœ… Urgent (same day): water leaks, no heat (winter), electrical hazards, broken exterior locks
โœ… Routine (1โ€“3 days): appliance issues, slow drains, minor plumbing repairs
โœ… Cosmetic (scheduled): paint touch-ups, non-critical items

Tip: Always confirm receipt of the request quickly. Tenants want clarity more than perfection.

Respond with clear expectations ๐Ÿ—ฃ๏ธ

Tenants donโ€™t need a long explanation โ€” they need timelines.

Example response:
Got it โ€” thanks for reporting. Iโ€™ve marked this as {{Urgency}} and weโ€™ll update you by {{Time}}. Please add photos if available.

Assign and track the work (even if itโ€™s you) ๐Ÿงฐ

Every request should have:

โœ… Status (new / in progress / resolved)
โœ… Assigned to (you or a maintenance contact)
โœ… Notes (what was done)
โœ… Photos/receipts if relevant

This creates traceability and protects you if thereโ€™s a dispute ๐Ÿ›ก๏ธ

Keep the history ๐Ÿ“š

Maintenance records help with:

โœ… Disputes (โ€œI reported this months agoโ€ฆโ€)
โœ… Property condition tracking
โœ… Budgeting and vendor comparisons
โœ… Tax time (repair receipts and notes)

Quick checklist โœ…

โœ… One channel for requests
โœ… Photos requested
โœ… Urgency categories
โœ… Status updates tracked
โœ… History searchable by unit/tenant

Why LeaseDeck helps ๐Ÿง

LeaseDeck gives tenants one place to submit requests, helps you track status and assignments, and keeps a clean history โ€” so nothing disappears in chats.
